Donation of Computer Equipment Guidelines

1. This section of the Donations of Money and Goods Policy outlines specific conditions that will apply to the donation of computer equipment to the Mohave County Library District. The purpose of these guidelines is to advise potential donors as to the usefulness and functionality equipment might have for the District and to provide a rationale for the acceptance or non-acceptance by the District of offered equipment.

2. All elements of the Donations of Money and Goods Policy apply to computer, technology and communication equipment donations.

3. Individuals and agencies seeking to place computers or related equipment that will have a connection to the District wide area network (WAN), Internet, or equipment at other sites for internal or public use will be asked to recognize the following conditions:

a. All donated hardware and software must meet District standards and County standards as they apply.

b. Sole operational responsibility for equipment and decisions as regards access and availability of the equipment belongs to the District, unless otherwise stipulated.

c. The acceptance of equipment may be conditional upon the donors willingness to include the cost of peripheral equipment (i.e., patch cords, print servers, ether cards, etc.) or services (i.e., wiring, electrical outlet installations, etc. ) required for computer operation or network connections.

d. Individuals or agencies offering to connect sufficient units to the District WAN as to require an expansion of Network software licenses may be asked to cover some or all of the associated costs of that expansion.

e. Prior to accepting a donation of equipment, the District is responsible for estimating and considering the ongoing costs of equipment operation.

4. Individuals and agencies seeking to place stand-alone computers or related equipment in district libraries for internal or public use will be asked to recognize the following conditions:

a. All donated hardware and software must meet District standards and County standards as they apply.

b. Sole operational responsibility for equipment and decisions as regards access and availability of the equipment belongs to the District, unless otherwise stipulated.

c. Specialty equipment not conforming to the District standards must be shown to be reliable, durable, and have a well defined maintenance plan as the District can not generally accept operational responsibility beyond basic tasks such as replacing printer ribbons, replenishing paper supplies, etc.

d. Specialty equipment not conforming to District standards will not be connected to the District WAN.

e. Prior to accepting a donation, the District is responsible for estimating and considering the ongoing costs of computer operation.
